Présentation du poste :
L'assistant(e) de programme et administratif(ve) jouera un rôle clé dans le soutien au bon fonctionnement des programmes académiques et culturels du Centre. L'assistant(e) rendra directement compte à la Directrice adjointe, en veillant à l'alignement avec les objectifs et priorités de l'organisation. Ce poste dynamique nécessite des compétences organisationnelles solides, une attention aux détails et la capacité à travailler de manière collaborative dans un environnement dynamique. L’assistant(e) travaillera en étroite collaboration avec les enseignants, les étudiants et le personnel administratif pour garantir le succès des activités académiques et culturelles.

The University of Chicago John W. Boyer Center in Paris is a hub for academic exchange and cultural immersion, hosting students and faculty for study abroad programs, conferences, and cultural events. The Center is committed to fostering an enriching academic and cultural experience for all participants.

 

Position Overview:

The Program and Administrative Assistant will play a key role in supporting the smooth operation of the Center’s academic and cultural programs. The Program and Administrative Assistant will report directly to the Deputy Director, ensuring alignment with organizational goals and priorities. This dynamic position requires strong organizational skills, attention to detail, and the ability to work collaboratively in a fast-paced environment. The assistant will work closely with faculty, students, and administrative staff to ensure the success of academic and cultural activities.

 

Key Responsibilities:

 

Program Support:

- Organize and prepare cultural activities and excursions, including advising professors on potential outings, coordinating logistics (transportation, meals, tickets), and handling last-minute changes.

- Serve as an emergency backup for excursions, stepping in when needed to ensure their smooth execution.

- Purchase and distribute tickets and other materials for excursions.

 

Faculty  Support:

- Collaborate with faculty to prepare course materials, including ordering books, compiling and printing course packets, and ensuring timely distribution to students.

- Coordinate classroom scheduling based on faculty preferences and class sizes.

- Manage faculty arrivals and departures, ensuring faculty housing is up to standards, and arranging additional housing (Airbnb) when necessary   

 

Orientation and Student Support:

- Support the Student Services staff with student arrivals and orientation, ensuring a welcoming and organized start to their program.

 

Administrative Assistance:

- Support the administrative team with tasks as needed, such as document preparation, correspondence, and event logistics.

- Maintain clear records of expenditures related to excursions, course materials, and other program activities.

- Handle additional tasks that contribute to the overall success of the University of Chicago John W. Boyer Center in Paris.

 

Skills :

- Strong organizational and multitasking skills.

- Excellent communication skills in English and French, both written and spoken.

- Ability to work independently and collaboratively within a team.

- Proficiency in Microsoft Office Suite and other standard office software; familiarity with Mac/IOS systems and project management tools is a plus.

- Experience in event planning, program coordination, project management or a similar field preferred.

 

 

Qualifications :

- Master's degree or equivalent experience in a related field
