DEPARTMENT: Student Services / Cultural Program

SUPERVISOR: Cultural Program Manager or any other supervisor as designated by the President

POSITION OVERVIEW

Under the supervision of the Cultural Program Manager, the Cultural Program Coordinator will:

• Work closely with faculty to organize and run study trips, including obtaining necessary

information to establish trip budgets and prices and make advance reservations for transportation,

hotels, and visits/activities.

• Organize, from conception to implementation, Summer excursions in collaboration with the

Summer Coordinator.

• Process payments to suppliers within tight deadlines; this requires strong communication with

Accounting office in regards to payment status.

• Work closely with outside suppliers to make advance group reservations for transportation,

accommodation, activities, etc

• Obtain tickets to the opera, concerts, theater, etc as part of both event requests for academic

courses and the extracurricular offering.

• Participate with Orientation presentations and class visits.

• Provide support to Student Leadership, Student Advisor Program and GPS Program for trips,

activities and excursions.

• Ensure that credit card payments, and all other financial transactions are properly declared and

recorded in a timely manner (invoices must be given to accounting for each supplier payment).

Other duties:

• Meeting regularly with Cultural Program Manager to review ongoing projects

• Greet students and assist with questions and requests in person or on telephone

• Lead excursions and accompany students in Paris and in France.

• Promote Cultural Program trips and excursions on AUP website and Engage

• Collaborate with various offices across campus including Academic Affairs, Student Accounting

Services, Student Development, Accounting, Admissions, and the Registrar’s Office.

• Keep abreast of cultural events in Paris, France and Europe and disseminate relevant information

to students and faculty, assisting them to participate in a variety of activities

• Maintain a selection of documents that promote the service each semester

• Maintain Cultural Program web pages by regularly updating general information as well as offered

study trips and activities

• Work with the Web Coordinator to provide feature stories highlighting the Cultural Program

experience from student participants

Other appropriate duties may also be assigned as requested by the Supervisor and according to the needs

of the Cultural Program team.

QUALIFICATIONS

• BA or equivalent

• Highly organized and attentive to details, able to multitask during busy times of the academic year

• Excellent communication and interpersonal skills, service-oriented

• Self-motivated and able to work independently

• High degree of computer literacy, particularly Excel, database, e-mail, and word processing

software

• Familiarity with Accounting processes is a plus

• Interest in higher education, travel, and cultural activities. Previous experience is an advantage.

• Knowledge of the American system of education preferred

• Bilingual English/French

• Any candidate who applies must have the legal right to work in France.
