job description : The Administrative Director position is a Full time position. The Administrative Director may organize their daily time commitments for office administration and student activities differently depending on the demands of the academic program and in consultation with the Director of the Lewis Global Studies Center (LGSC). The Administrative Director works in close collaboration with a Faculty Director appointed annually by Smith College to ensure success in the students’ academic obligations and overall cultural immersion experience. Additional responsibilities include managing administrative and financial duties of the program, as well as the welfare and security of Smith College students. The duties of the Administrative Director normally begin at least one week before the arrival of the students. Some international travel may be required.

 

Starting date: Summer 2025

Responsibilities:

  1. Program Administration

General management of program facilities

Maintenance of program documents related to the Smith College Junior Year in Paris

Assist Faculty Director with visa formalities, residence permit, and other matters related to living in Paris for the academic year

Manage payment of and accounting for program-related expenses

Ensure distribution of student funds including reimbursements

Assist in annual budget preparation

Coordinate student accommodation through management of the homestay program, including recruitment of families, annual visits to residences, placement of students, etc.

  1. Academic Administration

Maintain relationships with Smith’s partner universities in Paris

Coordinate course enrollment

Liaise with instructors, provide contracts and ensure payment for services

Support the Faculty Director in their responsibilities for student advising and curricular oversight

  1. Cultural Engagement and Integration

Design and implement the key components of the orientation program, in collaboration with the Faculty Director, including management of logistics.

Provide information sessions on integration into local culture, life with host families, university culture, etc.

Support students with logistical aspects of settling into life in Paris (banking, phone service, and other arrival logistics)

Manage all aspects of a full program of cultural excursions and activities throughout the year

  1. Student Welfare and Emergency Response

Ensure that students have appropriate information for, and that local conditions are suitable to support, a healthy and safe experience in Paris

Support students in meeting medical needs (illness or accident), addressing housing concerns, or in navigating other personal difficulties through use of local resources

Develop and implement an emergency response protocol in compliance with established Smith College guidelines

 

Share rotative on-call duties for emergency response with the Faculty Director

Skills :

 

  • Proven experience providing administrative and student support in an international education environment ;

  • Strong organizational and interpersonal communication skills ;

  • Fluent in English and professional French ;

  • Ability to work effectively in a multicultural environment and manage multiple projects simultaneously ;

  • Experience in supervising staff or student leaders and managing partnerships with external organizations ;

  • Experience troubleshooting and responding to emerging situations that may require mediation or immediate resolution ;

  • The selected candidate must be authorized to work in France (EU nationality or a valid work visa/residence permit).

Qualifications :

 

  • Bachelor’s degree in a relevant field; a Master’s degree is preferred.

  • Minimum of 3 years of experience living and/or working in an intercultural environment

Other :

 

  • Annual salary in the range of 45,000€ - 58,000€ depending on background and experience;

  • Meal vouchers covered at 60% by the company;

  • Health insurance covered at 50% by the company;

  • 50% reimbursement of the legal Pass Navigo/Vélib;

  • 5 weeks of paid vacation + 9-11 recoup days issued from the( “cadre au forfait”) flat rate status

Conditions :

  • Full-time permanent contract (CDI),flat rate status (“Cadre au forfait”)  

  • 4 months trial period renewable once  maximum (as set by the CBA)

  • Regular work time is  Monday to Friday ;

  • Occasional events on weekends and evenings, (recoup days provided by the flat rate status);

 

  • Occasional remote work allowed;

  • Occasional program travel within France or neighboring countries

  • Limited international travel required (twice a year)
