The Student Immigration Services (SIS) Administrative Assistant provides essential support to our students, who must either provide proof of European Union citizenship or secure and maintain an international student visa to live and study in France. The assistant collects and tracks student documents, meets daily with students, responds to e-mail and Teams queries, and proactively communicates with French authorities to best guide and support our students. This position is managed by the SIS Coordinator.
DETAILED DESCRIPTION OF RESPONSIBILITIES
Communication
- Greet and serve as a first point of contact for all new students arriving at the University.
- Inform NON-EU students about how to legalize their stay in France under a student status.
- Ensure regular and clear communication with our students via e-mail, online Teams calls, in-person appointments and other channels. Inform them of their immigration status and legal requirements related to renewals, travel, and enrollment at the University.
- Provide visa letters and other certificates for students as necessary.
- Assist NON-EU students with their residency application and renewal, including providing a list of requirements and assistance booking appointments with the Préfecture de Police.
- Ensure proactive communication with the Préfecture de Police and French Consular Authorities (French Consulates abroad, Campus France, VSF) as necessary.
Data Tracking
- Track the residency status of all students enrolled at AUP.
- Attend Orientation check-in each semester to validate all required official documents.
- Enter into our University databases all relevant information regarding student immigration records, including residency permit expiry dates, passport information, citizenship, scans of visas, boarding passes, birth certificates, etc.
- Maintain secure confidential records (passports, bank and housing information, photos, etc.)
Office Assistance
- Assist the SIS Manager with the daily operations of the office, standing in for the SIS Coordinator when she is absent.
Other appropriate duties may also be assigned as requested by the Supervisor and according to the needs of the Department.

QUALIFICATIONS
Ø Organized, proactive, detailed oriented.
Ø Highly competent with computers (Microsoft Office, Internet, Databases, TEAMS, SLATE)
Ø A strong communicator, comfortable working with students as well as French authorities
Ø Both a team player and autonomous.
Ø Bilingual English/French (near-native command of both languages).
Ø Excellent verbal and written communication skills.
Ø Ability to work well under pressure.
Ø Experience with the French student visa process preferred.
