Missions et activités du poste / responsabilité/Job Responsibilities:

The Student Services and Customized Program Coordinator assists with the student services functions of the IES Abroad Nantes Center and handles planning, coordination and implementation of customized programs. Through this involvement, the coordinator supports the personal and intercultural development of IES Abroad students.

Student Affairs 

Arrival, Orientation & CORE

  • Assist with planning and implementation of new student orientation for all IES Abroad Nantes programs (including customized) while keeping in mind the changing nature of program goals and US student expectations
  • With Director, assemble and prepare orientation materials and develop orientation schedule
  • Assist with booking facilities, transportation, guest speakers, meals, etc. for orientation.
  • Assist with the airport pick-up of newly arriving students

Extracurricular Programming

  • Propose, budget, design, and implement scheduling for semester extracurricular programming
  • Use Moodle and Facebook as platforms to promote IES Abroad sponsored activities and involvement in community-based activities for students
  • Assist with organizing IES Abroad events such as farewell dinners
  • Create online content for US based websites and social media presence

Student Health & Safety

  • Provide assistance to students with health needs.  This may require accompanying students for health care and follow-up with hospitalized students.  In accordance with IES Abroad student affairs protocols, report to Center Director and IES Abroad Chicago Dean of Students on medical emergencies and student medical issues
  • Assist students in resolving health insurance issues or refer students to relevant personnel
  • Oversee secure printing of student medical forms from IES Abroad Chicago
  • Carry an emergency mobile phone outside of office hours in rotation with other members of staff.  Full training and back up resources will be provided
  • Enter all student-related issues, both medical and disciplinary, in SITS (IES Abroad’s student affairs database)  

Travel

  • Participate in IES Abroad field trips
  • Travel occasionally to attend regional or international trainings   

Customized Programming     

Administrative 

  • Support Center Director as needed in the preparation for/administration of Customized Programs
  • Serve as primary contact for vendors (housing, field trips, rentals, etc.)
  • Prepare all orientation and information packets
  • Serve as primary contact for the IES Abroad Chicago customized programs team
  • Make all arrangements regarding transportation 
  • Assist with student cases as needed during the customized programs, including accompanying students to the doctor or hospital, providing documentation to IES Abroad, and carrying out IES Abroad protocols
  • Other tasks as indicated by the Center Director
  • Participate in on-line trainings and webinars as requested

  • Excellent interpersonal, written and communication skills
  • Fluency in French and English 
  • Excellent administrative and problem-solving abilities
  • Commitment to international education, intercultural issues, and a dedication to fostering student learning and intercultural competence
  • Student-centred philosophy and sensitivity to issues of diversity
  • Ability to travel to other regions of France on occasion.
  • Flexibility in terms of working hours. Weekend and evening work is sometimes required.
  • Experience and enthusiasm to work with university students
  • Knowledge of the tertiary education system 
  • A high level of proficiency in computer software particularly Microsoft Word and Excel
  • Strong time management skills, organisational skills and attention to detail

Formation exigée/Required Qualifications

  • Bachelor's degree or the equivalent 
  • Previous office experience
  • Must be able to lawfully accept employment in France at the time that an offer of employment is extended
